Message from the President

With COVID-19, how we work and live has had to evolve in a very short period of time, and change isn’t always easy. In the midst of so much change, it’s important to be able to count on some things to stay the same. That’s why at AF we continue to focus on our mission to serve our members. You, our members, have always been at the heart of all we do –– our company wouldn’t exist without you. Before the pandemic began and throughout, AF’s business processes and systems supported remote work and ensured that we could continue to serve you, safely and effectively. Our passion for service has given us purpose, a compass as we navigate an uncertain world.

We continue to move forward with building and releasing enhancements in Total Recovery Solution® (TRS®), including the much-anticipated functionality that allows new PIP and Medical Payment coverages to be filed in TRS. We will also be updating the UI platform and providing visualizations that allow users to interact with charts and see trends, including how your activity compares to the industry. These enhancements are made possible by your valuable feedback, so please continue to let us know how we’re doing and what you would like to see in our products and services. 

We want to recognize the efforts of all of our member companies to achieve their 1:1 heard-to-filed (HTF) commitment to each other. As a result, the average cycle time in Online Filing (OLF) and Total Recovery Solution® (TRS®) has been greatly reduced! We appreciate your diligence and commitment to each other. As you know, the timely resolution and recovery of arbitration cases relies on all of us working together. 
We are also excited about continuing to expand member adoption of our Settlement Exchange System® (SES®). SES eliminates the manual processes of payment processing that cost the insurance industry more than $30M each year, and like E-Subro Hub, SES is available to members at no cost. Some member companies have had to delay their implementations due to the coronavirus. Know that we will be here ready to assist when the time is right for you.

PIP and Med Pay Coming to Total Recovery Solution (TRS) Soon!

Illustration of connecting dots surrounding the word webinarAs communicated in previous E-Bulletins, the ability to file PIP and Med Pay Arbitration in TRS is coming soon, with a planned rollout in Q4 of this year. This does not include New York PIP. 

If you file or respond in PIP or Med Pay, we understand that you currently work in our legacy system and may not have had the opportunity to use TRS. To support the transition of these forums to TRS, we will offer live, user-specific webinars, and on-demand tutorials with content specific to your role (Recovering Party, Adverse Party, and Arbitrator). For those of you who already work in TRS, we will also offer job aids that outline the differences in User Interface between Collision/OTC in TRS and PIP and Med Pay in TRS.
Stay tuned to upcoming E-Bulletins for additional information about the training opportunities, which we anticipate will be available in November.

REMINDER: AF Transitioning to New Member Management Application This September

Illustration of a laptop with multiple screensAs communicated in the E-Bulletin and E-Bulletin for Security Administrators, AF will be transitioning to the new Member Management application in order to continue to provide optimal security and an enhanced selection of features for our users.

The current user maintenance application will be decommissioned September 19, 2020. Users are encouraged to begin the transition to the new member management application as soon as possible to limit any workflow impacts. 

Member Management includes several upgraded, easy-to-use features compared to previous user management tools.
  • The new application provides an enhanced UI, including a comprehensive interface to modify users and create passwords.
  • Users can be searched simply by typing the person’s first name, last name, email, or login ID. There is also advanced search functionality, which enables searching by many different fields such as business unit and administrators only.
  • The privileges assigned to a user show you which privilege group gave that user that privilege and which ones are directly assigned. 
  • Administrators will also be able to select multiple users to make changes to more than one user at a time.

Preserving Neutrality, Privacy, and Confidentiality

Illustration of a red lock that is open alongside closed locksObjectivity, neutrality, and confidentiality are the foundations of a credible arbitration system. All decisions must be based solely on the arguments made in the contentions and the evidence submitted by the parties to avoid any perception of bias on the part of the arbitrator. An effort should also be made to keep confidential all information that could be used to personally identify someone in the process.

In addition, an arbitrator must excuse himself/herself from hearing a case if he or she has a direct or indirect interest in the outcome (financial, business, personal, or professional). We also recommend that arbitrators excuse themselves from hearing a case that involves a prior co-worker or claim adversary if their decision could create an appearance of impropriety.

AF policies also help ensure the privacy and confidentiality of our membership's data. The Neutrality, Privacy, and Confidentiality statement reinforces to arbitrators that the information submitted by parties is private and confidential and may only be used to resolve the dispute. It may not be copied or printed or used for any other purpose.
Neutrality, Privacy, and Confidentiality Statement
This decision is according to my understanding of the current local law and the facts presented. I may not render a decision on a case where I or my company is directly or indirectly interested, or where there is even an appearance of bias. Also, I understand as an arbitrator I will have access to confidential material involving company and/or insured information. All information related to this case will be utilized for the sole purpose of rendering this decision. I agree to protect the privacy, security, and confidentiality of all information related to this case. I affirm that I have read and understand the above.
For these reasons, arbitrators acknowledge the Neutrality, Privacy, and Confidentiality Statement on each case they hear.

Personally Identifiable Information (PII)
AF policies prohibit the inclusion of PII when uploading evidence. PII can be defined as any information about an individual maintained by AF that can be used to distinguish or trace an individual‘s identity through a combination of the individual’s name and one or more of the following:
  1. Social security number
  2. Driver's license number or non-driver identification card number
  3. Account number, credit or debit card number, in combination with any required security code, access code, or password that would permit access to an individual's financial account
  4. Any information regarding an individual’s medical history, mental or physical condition, or medical treatment or diagnosis by a health care professional
  5. An individual’s health insurance policy number or subscriber identification number and any unique identifier used by a health insurer to identify the individual
PII does not include information about an individual that has been made publicly available by a federal, state, or local governmental entity. PII also does not include information that is encrypted, secured, or modified by any other method or technology that removes elements that personally identify an individual or that otherwise renders the information unusable.
