Upcoming Enhancement: Splitting the Claim/Policy Number and Introducing Internal References

Image of two business people pushing gears togetherArbitration Forums, Inc. will be releasing a new enhancement to E-Subro Hub® on April 28 to improve user efficiencies and provide consistency with AF’s Total Recovery Solution® (TRS®). Demands will then have separate fields for the claim number, policy number, and an internal reference. Currently, E-Subro Hub has a single entry field for either a claim number or policy number.

The internal reference field will allow parties to enter data that is useful for in-house tracking, routing, and identification. This increased flexibility will remove the need for users to modify claim numbers by adding member-specific characters. Additionally, the separation of these fields will improve the association of E-Subro Hub claim data to any corresponding TRS case.

This change will modify what a user will see when completing common E-Subro Hub actions.

Add Demand
The Add Demand page will be modified from “Enter Your Claim/Policy Number” to “Enter Your Claim Number.”

Demand Details
The Demand Details page will be modified to separate claim and policy numbers to separate rows and add the internal reference field. The demander claim number is required; however, the demander’s policy number and internal reference fields are optional. The responder’s claim number, policy number, or insured’s last name/company name (if commercial) is required. The responder’s internal reference field is optional.

Demand Print PDF
The demand print PDF will be modified to display claim number, policy number, and internal reference as separate rows for demander and responder.

Case Lookup
The Search by File Number tab in Case Lookup will be modified to allow searching by claim/file number, internal reference, or policy number. The claim/file number is the default setting.

The Subro Records result grid will be modified to include columns for the policy number and internal reference.

Company Preferences
The preference settings will only be visible to a security administrator for a member company.
The Demander Requested Fields and Responder Requested Fields tabs will be modified to separate claim/policy number into two separate rows and add the internal reference field. The demander’s claim number remains required; the demander’s policy number and internal reference can be requested. The responder’s claim number, policy number, or insured’s last name/company name is required; the responder’s internal reference can be requested.

Navigating Through the New Look of the E-Subro Hub Reports Platform

Through AF’s collaboration with its members, a more robust reporting platform has been designed to improve how members track and obtain subrogation and arbitration data for their organizations.

To help members navigate the system, AF has recorded a quick tutorial providing steps on how to access E-Subro Hub reports on AF’s new reporting platform.

Ready to Join Total Recovery Solution (TRS)?

Image of the words Join TodayAs you know, AF’s Online Filing (OLF) technology for all arbitration programs is currently being upgraded to the Total Recovery Solution® (TRS®) technology platform. TRS is designed to reduce cycle time, improve decision quality, and reduce filing and decision errors.

TRS is being delivered to AF’s members in a phased approach, and we invite your organization to begin participating in late April. In the interim, we would like to work with you to ensure an easy and successful transition. The TRS platform is currently available for automobile subrogation arbitration program claims only (cases filed in our Auto program), and it will become the exclusive platform for all automobile subrogation claims by October 1, 2019. Upgrades will continue in 2020 when additional coverages/programs are added (i.e., PIP and Med Pay).

Preserving Privacy and Confidentiality

Conceptual image of a digital padlock in front of binary codeAn effort should be made to keep confidential all information that could be used to personally identify someone in the process of using E-Subro Hub.

Personally Identifiable Information (PII)
AF policies prohibit the inclusion of PII when uploading evidence. PII can be defined as any information about an individual maintained by AF that can be used to distinguish or trace an individual‘s identity through a combination of the individual’s name and one or more of the following:
  1. Social security number
  2. Driver's license number or non-driver identification card number
  3. Account number, credit or debit card number, in combination with any required security code, access code, or password that would permit access to an individual's financial account
  4. Any information regarding an individual’s medical history, mental or physical condition, or medical treatment or diagnosis by a health care professional
  5. An individual’s health insurance policy number or subscriber identification number and any unique identifier used by a health insurer to identify the individual
PII does not include information about an individual that has been made publicly available by a federal, state, or local governmental entity. PII also does not include information that is encrypted, secured, or modified by any other method or technology that removes elements that personally identify an individual or that otherwise renders the information unusable.
